Cancellation & Refund Policy
This policy explains cancellation and refund review for analysis, workflow planning, implementation, testing and support services where value can be created before a workflow is placed into production.
1. Purpose
This policy explains the general treatment of cancellations, project pauses, completed work, package payments and refund requests for Brynqel Automata automation services. Project-specific written terms may provide additional details and control where they are more specific.
2. Before substantive work begins
If a project is cancelled before substantive analysis, workflow design or implementation begins, Brynqel Automata may review planning time, discovery work, reserved production time, account setup and any third-party expenses already incurred. Any refundable balance, if one exists, is determined after those items are considered.
3. After planning or analysis begins
Workflow analysis, process mapping, recommendations and technical planning create value before an automation is deployed. Fees associated with completed analysis, planning sessions, documentation or other completed work are generally not refundable solely because the client later decides not to implement the recommended automation.
4. After implementation begins
Once configuration, coding, integration or testing has begun, amounts attributable to completed work, approved milestones, reserved production time and non-recoverable expenses are generally not refundable. Any remaining unearned amount may be reviewed according to the project documents.
5. Third-party expenses
AI-provider charges, automation-platform fees, API charges, software subscriptions, application fees, cloud services or other third-party costs are governed by the relevant provider's refund rules and may be non-refundable even if the Brynqel Automata project is cancelled.
6. Client delay and inactivity
Projects may be placed on hold when required access, workflow information, approvals, test data or feedback are not provided for an extended period. Restarting an inactive project may require a revised schedule or updated estimate if provider requirements, business logic or availability have changed.
7. Ongoing Support
Ongoing Support is a monthly service when separately agreed. Cancellation timing, the last covered support period and any minimum commitment should be stated in the applicable service agreement or invoice. The website does not create an automatic renewal commitment by itself.
8. Completed work
Completed work that conforms to the agreed scope is generally not refundable merely because the client changes tools, changes internal processes, discontinues the workflow, chooses another provider or decides not to use the delivered automation.
9. Material service issue
If a client believes delivered work materially differs from the agreed scope, the concern should be raised promptly with enough detail to identify the affected workflow and behavior. Brynqel Automata may review the project record, requirements, approvals and test results before determining whether correction, additional work or another resolution is appropriate.
10. Requesting a cancellation or refund review
A request should identify the project, the requested cancellation date, the specific work or amount in question and the reason for the request. Brynqel Automata will review the request against the project scope, completed work, payments received and non-recoverable costs.
11. How a request is assessed
A cancellation request should identify the project, the date of the request and the services at issue. The review considers the agreed scope, completed planning or implementation, approved third-party costs and any amount already paid. A written project agreement may contain more specific milestones and take precedence where applicable.
12. Work in progress
Some deliverables are created progressively. Process research, workflow diagrams, configuration work and testing can have value before a final system is launched. An incomplete project does not automatically mean that no work was performed or that all paid amounts are refundable. The parties can request an itemized explanation of completed work.
13. Changes to an agreed scope
If the client requests additional systems, more data sources, different business rules or materially expanded testing, the original scope and estimate may need revision. A decision to stop an expanded project should be reviewed against the work already authorized and performed under the applicable documents.
14. Amounts required by law
Nothing in this policy removes a right or remedy that cannot be waived under applicable law. Where a mandatory legal rule applies, that rule controls even if a project estimate or general website statement says something different. Concerns about charges or service quality should be raised with enough detail for a fair review.
